GathRound Events — Mobile App Privacy Policy

What the app is
GathRound Events is a companion app for conferences managed on the GathRound platform. It lets registered attendees view event agendas, build a personal schedule, access session materials, display their admission QR ticket, participate in the event’s engagement hub (activity feed, attendee networking, direct messages, polls, Q&A), and scan attendee badges for check-in and networking where the event has enabled it.
Information we collect
Account information. Signing in uses the account created when you registered for an event: your name and email address, and the profile details you or the event organizer provided at registration (such as company, job title, photo, bio, and social links).
Content you create. Activity feed posts, questions, poll responses, direct messages, networking scans, and notes you attach to scans are stored by the platform and associated with your attendee record.
Badge scanning. With your camera permission, the app reads QR codes on attendee badges and tickets. Camera images are processed on your device only; the app transmits just the decoded code. When another attendee scans your badge, they see only the profile fields allowed by your privacy settings (visible in the event’s Engagement Hub), where you can also opt out of badge scanning entirely or block individual attendees.
Device information for notifications. If you enable push notifications, we store a push token identifying your device so event communications and session reminders can be delivered. Deleting the app or disabling notifications invalidates it.
Technical data. Standard web server logs (IP address, request time) are kept for security and troubleshooting, including login rate-limiting.
How we use information
To operate the features above; to let event organizers run their events (organizers can access their event’s attendee, engagement, and check-in data); and to secure the service. We do not sell personal information, and the app contains no advertising or third-party ad trackers.
Sharing
Your information is visible to (1) the organizer of events you register for, (2) other attendees, strictly per the event features you use and your privacy settings (e.g., the attendee directory, feed posts, badge scans), and (3) service providers that host the platform and deliver email/push notifications, acting on our instructions. We disclose information if required by law.
Retention & deletion
Event data is retained while the event account remains active with the organizer. You may request deletion of your account and associated personal data by contacting gathround-support@workcompevent.com or the event organizer; some records may be retained where required for legal or financial purposes (e.g., registration payment records).
Security
Connections use HTTPS. Sign-in tokens are stored in your device’s secure storage and are revocable by signing out; server-side they are stored hashed and expire after 90 days of inactivity.
Children
The app is intended for professional conference attendees and not directed to children under 13.
Changes
We will post updates to this policy at this URL with a revised effective date.
